GECITS trials new Notes methodology

GE Capital IT Solutions (GECITS) has trialled a new Lotus Notes implementation strategy as part of a $700,000 project for the Social Security Appeals Tribunal (SSAT).

The strategy, developed under the banner Project Management Model (PMM), was necessary because of the size of the implementation, according to Brett Pearce, GECITS' product manager, collaborative computing.

"We developed the model utilising the SSAT project as a test case," Pearce told ARN. "We use a large-scale methodology for most of our systems integration work, but SSAT was a particularly large development in Lotus Notes terms, so we needed structure."

The SSAT contract encompassed the design, development and implementation of a new case management system to manage appeals relating to Australian Federal Government programs lodged to the statutory body.


GECITS won the tender to develop and install the system - called AMSWIN - to operate on SSAT's HP Netservers running Windows NT Server, Lotus Notes 4.6 and, in some cases, NetWare 4.11.

Key to the success of the PMM methodology was the involvement of an SSAT official driving the content requirements of the AMSWIN system, Pearce said, and the use of Lotus TeamRoom, which managed the flow of information across the project team and provided a repository for all users.

"Existing processes were modelled, refined and fine-tuned," Pearce claims. "We recorded feedback from participants under Notes, which also enabled us to iteratively develop the design document, recording faults and managing issues as they arose. This really helped ensure complete consistency and buy-in to the delivered system."

The AMSWIN system, which has been rolled out to 120 users across eight locations nationwide, will streamline SSAT's processes, according to Chris McMahon, the company's project manager.

"All the SSAT processes will be more integ-rated, automated and consistent," he said.

"The Notes environment, closely linked with messaging systems, provides more advices, letters to those appealing and internal notices so that information can be quickly followed up and acted upon.

"An example of this is the Sitting Roster which uses the Lotus Notes Calendaring and Scheduling (C&S) feature to scheduled members to attend and participate in the tribunal process."
